Who we are
Clean Retype is a trading name of Richard Fenton, a sole trader in the United Kingdom, who is the data controller for the personal data described here. Contact: hello@cleanretype.com. Postal address: available on request by email.
What we collect and why
- Account details: your email address and a securely hashed password, to create and secure your account. Lawful basis: contract.
- Billing details: subscription status, renewal date, and Stripe customer and subscription IDs. Stripe processes your card details. We never see or store them. Lawful basis: contract and legal obligation (tax records).
- Usage records: for each conversion, the date, page count and whether it succeeded, to enforce the free trial and fair-use limits. These records contain nothing from the document itself. Lawful basis: contract.
- Your documents: processed only to produce your clean copy. The upload is deleted as soon as it has been read and the clean copy within 15 minutes. Documents are processed in temporary memory and never used for training or any other purpose. Lawful basis: contract.
- Technical logs: our hosting providers keep short-lived server logs (such as IP address and request times) for security and troubleshooting.
Who processes data for us
- Supabase: accounts and database, hosted in London (UK).
- Railway: runs the document converter. Documents are held there only briefly, as described above.
- Stripe: payments.
- Netlify: hosts this website.
Some of these providers are based outside the UK. Where data is transferred internationally, it's protected by appropriate safeguards such as the UK International Data Transfer Addendum or adequacy regulations.
Cookies and tracking
We don't use advertising or analytics trackers. Your browser stores a login token so you stay signed in. This is strictly necessary for the service, so it doesn't need consent.
How long we keep data
- Documents: up to 15 minutes, as described above.
- Account and usage records: while your account is open, then deleted within 30 days of closing it.
- Billing records: 6 years, as required for UK tax purposes.
Your rights
Under UK data protection law you can ask to access, correct or delete your personal data, to object to or restrict how it's used, and to receive a copy in a portable format. Email us and we'll respond within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If we make significant changes to this policy, we'll update the date above and email account holders.
